Employee Benefits Specialist

M&S Engineering, LLC seeks a qualified Employee Benefits Specialist at our Spring Branch, Texas location.

The incumbent will be the primary contact and superuser for all things benefits, including records maintenance, enrollments, changes, terminations, invoice reconciliations, compliance, benefits onboarding, COBRA, FMLA, ADA, COVID, leave administration, etc.

This position reports to the Corporate HR Manager.

Duties and responsibilities include:

  • Serve as primary contact for ADP Benefits and third-party administrators and be the liaison between company and insurance brokers.
  • Coordinate transfer of data to external contacts for services, premiums, and plan administration.
  • Evaluate internal processes and recommend changes to increase efficiencies.
  • Document and maintain administrative procedures for assigned benefits processes.
  • Ensure compliance with applicable government regulations, including timeliness and accuracy of required reporting and fees.
  • Coordinate daily benefits processing.
  • Manage enrollments, terminations, changes, beneficiaries, disability, death claims, and assist fiduciary with 401k issues as requested.
  • Maintain employee group benefits database and ensure timely updates of employee payroll deduction records.
  • Work with accounting to ensure proper payment of fees, payroll deductions, and premiums.
  • Monitor and analyze statistical data relative to premiums, claims, and costs.
  • Resolve administrative problems with the carrier representatives and our broker.
  • Ensure distribution of required employee benefits notices.
  • Provide customer service support to our employees and develop communication tools to enhance understanding of the company’s benefits package.
  • Design and distribute materials for benefits orientations, open enrollment, and summary plan descriptions.
  • Provide training and support, as needed.
  • Oversee and manage employee leave (STD/LTD, FMLA, COVID, etc.) and the company wellness program(s).
  • Perform other duties as required and assigned.
  • MUST be able to maintain strict confidentiality rules.
  • Bachelor’s degree in Human Resources, or equivalent, with prior employee benefits administration experience.
  • Experience with ADP Benefits and other HRIS systems are highly preferred.
  • Understanding and knowledge of HR federal laws and regulations.
  • Computer proficiency in Outlook, Word, Excel and PowerPoint.
  • Excellent time management, organizational skills and enjoy working in a fast-paced environment.
  • Effective planning and priority setting with ability to manage several complex projects simultaneously while working under pressure to meet deadlines.
  • CEBS certification is preferred but not required.  Willingness to get the CEBS certification if not currently certified.
  • Experience in self-funded plans is a plus.
  • Knowledge of all pertinent and state regulations, filing and compliance requirements, both adopted and pending, affecting employee benefits programs, including the ACA, ERISA, COBRA, FMLA, ADA, Section 125, Medicare, OBRA, Social Security, and DOL requirements.
  • Strong analytical and problem-solving skills.
  • Be personally accountable for the quality and accuracy of work product.
  • Excellent interpersonal skills as well as verbal and written communications skills.
  • Must be self-starter and be able to work well with peers, and both supervised and independently.
