Administrative Assistant

We are seeking an administrative assistant to join our creative business. The ideal candidate is efficient, detail-oriented, and skilled in managing and maintaining customer relationships; an art or creative background is not required.

About us: The Makery is a working and teaching art studio located in the Old Village of Bulverde outside San Antonio TX. Home to husband and wife artists, we offer online and in-person workshops in metalsmithing and related arts. Our student base includes a loyal local cohort and a vibrant, active online community, and we welcome guest instructors from all over the country throughout the year.

Work hours: Our standard workweek is Wednesday through Saturday, 10 am to 6 pm. Additional hours and days for workshops or special events are required, and are scheduled well in advance for planning purposes. The studio schedule includes three regular paid "sabbatical" weeks during the year, including one over Christmas and New Years, and flexibility during any week when a workshop or special event is not scheduled.

Job responsibilities: The Studio Assistant is responsible for providing direct assistance to the studio owners to ensure the smooth operation of the studio. The role is ideal for a “jack- or jill-of-all-trades” administrative type who knows a little about a lot of things and has a willingness to learn and implement new information, processes, and ideas. The regular responsibilities are widely varied, and often include special projects. Day-to-day tasks include:

  • Providing exceptional customer service support for in-studio students and online student groups across several platforms.
  • Coordinating logistics for workshops and special events.
  • Ensuring deadlines are met and adapting to changing priorities.
  • Maintaining and updating the studio’s eCommerce website, including processing online registrations and orders.
  • Drafting and editing letters, emails, reports, and other documents.
  • Responding to emails and other digital queries and correspondence.
  • Answering phone calls, scheduling appointments, signing for incoming packages, and assisting students and other visitors.
  • Managing studio and personal calendars for studio owners.
  • Inputting and updating information in databases and spreadsheets.
  • Creating marketing materials for website and social media accounts.
  • Maintaining physical and digital records.
  • Maintaining, tracking, and ordering office, studio, and workshop-related supplies and materials.
  • Packing and arranging shipment of artwork.
  • Conducting research as requested, including compiling and summarizing information.
  • Assisting with special projects and events as required.
  • Working with sensitive information with discretion to maintain confidentiality and security.

The ideal candidate will have the following:

  • At least three years past administrative experience or tenure in a professional office setting.
  • Excellent written and verbal communication skills
  • Top-notch interpersonal skills, with excellent office and phone etiquette.
  • Well-developed time management skills, including the ability to navigate multiple deadlines and changing priorities.
  • Superb organizational skills, with a high degree of accuracy and attention to detail.
  • A high degree of computer competency across multiple platforms and applications, including a fearless willingness to learn and understand new systems.
  • Ability to work well independently and in collaboration with others.
  • Data management and entry skills, especially the ability to work with spreadsheets.
  • A proactive approach to problem-solving and process improvement.
  • Must be able to lift items weighing up to 40 pounds without assistance.

The following are not required but are a plus:

  • Experience working on Mac-based systems
  • Experience planning and managing events
  • Experience updating, maintaining, and operating online ecommerce systems
  • Experience with live streaming platforms and systems

Education: High school diploma or equivalent, some college a plus but not required

Job Type: Full-time

Pay: $17.00 - $22.00 per hour

Expected hours: 32 – 45 per week
