Administrative Assistant

We are a construction firm looking for an administrative assistant to provide administrative support to office and field staff. This is a full-time position Monday through Friday 8 am to 5 pm.


Responsibilities:
 

  • Perform administrative, office and clerical duties
  • Maintain vehicle and equipment hours and service logs
  • Track materials for multiple projects
  • Review subcontract and project documents
  • Assist with basic proposals, including generation of letters and fees
  • Assists project manager with project set-up, organization of job information, document preparation and project billings
  • Vendor invoice coordination, including purchaser review/approval, coding and submission to accounting
  • Procure and maintain all seasonal and permanent employee records
  • Assist with internal initiatives related to safety, quality and training
  • Other duties may be assigned
 
Required Skills:
 
  • Ability to organize and prioritize multiple projects and tasks efficiently 
  • Strong analytical and problem-solving skills
  • Perform typing, data entry, and computer applications with a high degree of accuracy and efficiency
  • Execute good customer service skills, with the ability to communicate effectively via telephone and e-mail
  • Excellent communication skills 
Preferred Experience:
  • High School Diploma or Equivalent
  • 1 plus years’ related experience in office administration, project coordination
