Secondary Receptionist/Administrative Assistant

Position Description: The Secondary Receptionist/Administrative Assistant is expected to uphold the vision, mission and values of Bracken Christian School while performing general administrative functions of the organization, as well as providing support to secondary and administrative staff and faculty. This position is the first point of contact for parents, students, and visitors in the administration and secondary school building, thus requiring high levels of organizational effectiveness, communication, and key-record keeping skills, as well as coordination amongst the other school departments.

Previous administrative support experience

Strong Christian faith and personal testimony

Prior Christian school experience

Proven track record of advanced administrative capabilities
Skills:

Knowledge of current office and business management practices

Knowledge of Google Workspace and school management systems (FACTS)
Adept multitasking, organizational, interpersonal, and professional skills to include critical thinking, attention to detail, and process management
Major Responsibilities and Duties:
- Receive and direct incoming calls, take reliable messages, and route to appropriate staff

Manage gate and front desk security for all visitors and parents using the Raptor security system

Greet and direct campus visitors; assist parents in checking students in and out of school; maintain visitor log and issue visitor passes

Record student absences, tardies, and run special reports in the school management systems (FACTS)

Act as Lead Substitute Coordinator for the campus using the Red Rover system; coordinate substitute teachers for all secondary teachers and assist in the coordination of elementary substitutes as needed; process monthly substitute pay reports; prepare secondary substitute teacher packets

Assist with the receipt and distribution of student materials, including homework requests

Provide clerical assistance as needed

Maintain confidentiality

Maintain inventory of kitchen supplies and inform purchasing of anything needed

Assist teachers with various administrative needs

Maintain open lines of communication with different departments throughout the school

Other duties as requested
Working Conditions:

Frequent standing, walking, stooping, bending; occasional lifting and carrying 25-30 lbs.
